Privacy Policy
Last updated: 7 November 2026
This Privacy Policy explains how Ry Peter Stewart, a sole trader in Australia trading as Ry Stewart (ABN 67 345 651 453), handles personal information in connection with rystewart.com, the Free Strategy Call booking page on that domain, and the done-for-you DM appointment setting services Ry provides to businesses. In this policy, "Ry", "we", "us" and "our" refer to Ry Peter Stewart.
1. Contact
For privacy questions, requests or complaints, contact:
- Email: ry@rystewart.com
- Phone: 0419 170 567
2. Who this policy applies to
This policy covers information about:
- Prospects, including people who book a Free Strategy Call and people Ry contacts on Instagram about his services.
- Clients and their staff.
- Leads of our clients, meaning people who message, comment on, or book a call with a client, where Ry or the setters he manages handle that information while delivering services to the client.
- Setter applicants, setters and trial setters, who work as contractors.
- People who refer clients to Ry.
3. Age
Ry's services are for businesses and people aged 18 or over. Setter applicants must also be 18 or over. Ry does not knowingly collect children's information for his own services.
4. Information we handle
The information we handle depends on how you deal with us.
Prospects and call bookers: name, Instagram handle, follower count, public profile information and a screenshot of your public Instagram profile, direct message history, and for people who book a call, the booking details you provide (such as name, email and answers to booking questions), and call recordings and transcripts.
Clients: contact details, business and offer details, revenue and sales numbers, payment and invoice records, call recordings, and messages exchanged over Slack and WhatsApp.
Leads of our clients: name, Instagram handle and profile link, direct message history, tags applied in the client's messaging tools, location and time zone, phone number and booking form answers, setter notes (which can include age, job, location, struggles, goals and personal context), call outcome, and amount paid and payment type. Leads sometimes share health and fitness details in conversations, such as weight, body goals or health struggles.
Setter applicants: name, email, country, experience, application answers, CVs, video recordings, scores and interview notes.
Setters: name, email, Slack and WhatsApp contact details, shift times, daily activity reports, performance data, commission and pay amounts, and interview recordings.
Testimonials and results: client testimonials and results, used with the client's consent.
5. Where information comes from
We collect information from:
- Instagram direct messages, comments and story replies, on Ry's own account and on client accounts (including through the client's messaging automation tools).
- Public Instagram profiles, which Ry gathers into a prospect list.
- Calendly bookings, Google Forms (such as setter applications and daily reports), and Zoom calls recorded with Fathom.
- Clients' own CRMs, spreadsheets and sales call recordings that clients share with us, and messages over Slack, WhatsApp and email.
6. How we use information
We use information to:
- Reply to leads and book calls.
- Promote and sell Ry's own services, including contacting prospects and holding sales calls.
- Deliver and report on services to clients.
- Recruit setters, including reviewing applications and videos.
- Manage setters and their performance.
- Keep accounting and payment records.
We also use information in these additional ways:
- Transcripts of Ry's calls are reviewed for content ideas.
- Transcripts of clients' sales calls are used to build customer avatar and messaging documents for that client.
- Client results are used as marketing proof, with the client's consent.
7. Work inside client accounts
When we deliver services to a client, we and the setters we manage work inside the client's own accounts:
- Setters log in to the client's Instagram account with access the client provides, and use inbox seats the client adds in its messaging tool.
- Ry has access to the client's messaging tool to review conversations for quality checks and to prepare follow-up lists.
- Some information is copied out of client systems for service delivery, such as follow-up lists in Google Sheets, conversation data used for quality reports, booking answers added to the client's CRM and posted in the client's Slack workspace, and lead summaries added to the client's CRM.
The client's full Instagram and messaging inbox and the client's payment records stay in the client's own systems. Leads stay in each client's own Instagram, messaging and Calendly accounts, and each client has its own CRM sheet, tracker, Drive folder and Slack workspace.
If you are a lead of one of our clients, questions about how the client uses your information are best directed to that client. Requests about a client's leads that we receive are passed to that client.
8. Marketing and outreach
Ry contacts prospective clients (coaches and creators) by direct message on Instagram, using profiles he finds publicly. These messages are sent by hand or with an automated browser tool from Ry's account, using pre-written messages. As part of this outreach, Ry may screenshot a prospect's public Instagram profile and send it to them in the message.
When working for clients, setters message people who have engaged with the client's account (for example through comments, keywords, story replies or new follows) and follow up earlier leads. The client's messaging tool also sends automated keyword replies.
Questions about our outreach can be sent to ry@rystewart.com.
9. AI tools and automation
We use AI tools in parts of our work:
- Claude (Anthropic) is used to draft documents, scripts and messages, prepare daily quality reports from client conversations, draft conversation reviews, score setter applicants against a rubric, review call transcripts for content ideas, and run Ry's outreach automation.
- Setters use a custom ChatGPT (OpenAI) tool to summarize lead conversations into CRM notes.
- Fathom transcribes recorded calls.
Ry reviews AI-prepared reports and drafts before they go to setters or clients. When AI scores setter applicants, Ry makes the final decision.
10. Recordings and published content
Ry's Zoom calls (including sales calls, client calls and setter interviews) are recorded with Fathom, and Ry tells people when a call is recorded. Recordings are stored in Fathom, and transcripts are used for content ideas and documents. Ry also records Loom videos reviewing lead conversations for setters.
Ry asks clients for consent before using their testimonials or results. Anyone can ask for a testimonial or their content to be removed by emailing ry@rystewart.com, and it will be taken down within 14 days.
11. Service providers we use
We use the following service providers, which may receive or store personal information as part of the services they provide to us:

13. Overseas access

Setters are contractors based outside Australia and can access client Instagram accounts, messaging inboxes, CRMs, Slack workspaces and scripts. Our service providers may also store or process information in other countries.
14. Security
Measures we use include two-factor authentication on Ry's accounts, a password manager, a separate Slack workspace and separate sheets for each client, removing setters from Slack and all platforms when they stop working, and deleting client passwords and removing Ry's logins when a client leaves.
No method of storing or sending information is completely secure.
15. How long we keep information
We plan to keep information for these periods:
- Tax and financial records (invoices and payments): 5 years.
- Client documents and data: while we work together, then deleted 12 months after the client leaves.

- Applications from setter applicants who are not hired: 6 months.
- Call recordings: 12 months.
16. Your requests
You can ask to access, correct or delete the personal information we hold about you, or make another privacy request, by emailing ry@rystewart.com. Ry will respond within 30 days. To protect your information, Ry confirms your identity by checking that the request comes from the email address or Instagram account you used with him. Requests about a client's leads are passed to that client.
17. Complaints and data incidents
Privacy complaints can be sent to ry@rystewart.com, and Ry will handle them. If there is a data breach involving a client's information (loss, unauthorized access or disclosure), Ry will tell affected clients within 72 hours of finding out.
18. Changes to this policy
We may update this policy. Changes will be posted on this page, and active clients will be notified by email.
